Our Hospitals Lottery

By signing up to our lottery today, you will help make hospital life better and your local NHS do even more, and for just £1 a week you could be in with a chance to win cash prizes!

From May 2026 our lottery is changing: for just £5 a month you have five chances each month to win our top prize of £500. Plus, in February players will be entered into our annual superdraw with a chance of winning our top prize of £2,000!

By playing our lottery you’ll be able to support staff and patients at our hospitals whilst being in with a chance to win big. Tickets are just £1; every entry will help our hospitals go that extra mile for you and everyone who means the world to you.

Here’s how it works

Playing is simple. When you join, you’ll pick how many entries you would like each week, one or two. Tickets are just £1 each. From May 2026 there are five lottery draws per month.

Regular weekly draws takes place every Saturday. (In months with only four Fridays the fifth draw will take place on a Wednesday). The guaranteed weekly prizes are:

  • One top prize of £500
  • One second prize of £50
  • Ten runner up prizes of £10 each

In addition, our an annual superdraw prize gives players the chance of winning up to £2,000.

When you join, you will be allocated your own 6-digit Cheltenham and Gloucester Hospital Charity lottery number (you can purchase up to two if you wish). A random winning number is drawn each week.

When the annual superdraw takes place the prizes are awarded as follows:

  • The first six number match wins the superdraw prize, which is £2,000
  • The second six number match wins £500
  • The third six number match wins £50
  • The next ten six number matches win the ten runner up prizes of £10 each

Lottery results and winners

Results are published at 7.00am GMT. When the fifth draw of the month takes place on a Wednesday the results will be published on those Wednesdays at 17:45 GMT.

Terms and conditions

Thank you for your interest in the Cheltenham and Gloucester Hospitals Charity Lottery (“the Lottery”). These terms and conditions (“Terms”) set out the important information and rules relating to all Users.

Please ensure that you read these Terms carefully. By entering the Lottery you agree to be legally bound by these Terms. If you do not wish to be bound by these Terms then you must not enter the Lottery.

This Lottery is promoted and operated by Cheltenham and Gloucester Hospitals Charity (UK Registered Charity Number 1051606) (“the Society”). Registered office: Cheltenham General Hospital, Charity Office, Sandford Road, Cheltenham, Gloucestershire, GL53 7AN, GBR. Cheltenham and Gloucester Hospitals Charity is licensed by Cheltenham Borough Council account number: 25/01670/LOTR - to promote and operate the Lottery in accordance with the provisions of the Gambling Act 2005. Responsible person: Charles Homer, Head of Income Generation, Cheltenham and Gloucester Hospitals Charity.

The Cheltenham and Gloucester Hospitals Charity lottery is operated by The Fundraising Foundry Ltd, an External Lottery Manager (ELM) licensed by the Gambling Commission, account number 57455. The Fundraising Foundry is a company registered in England and Wales with company number 12391987 and whose registered address is 157 Bedford Road, Letchworth Garden City, UK, SG6 4DY.

Your Agreement to the “Terms” is with The Fundraising Foundry. However, the Society (as defined below) shall be entitled to enforce any of these terms and conditions.

1. Definitions

In these Terms, the following words have the defined meanings as follows:

‘Agreement’ Has the meaning given in Clause 11.4;

‘End User, you, your’ Means the end user of the Website and/or participator in the Lottery;

‘Society Lottery’ Means the Lottery and website run and managed by The Fundraising Foundry on behalf of the Society;

‘Society’ Means the promoter/owner of the Lottery whose details are given in the introduction to these Terms and Conditions;

‘Lottery’ Means the remote society lottery promoted by the Society;

‘Lottery Rules’ Means the Rules governing the Lottery. These rules are revised from time to time and can be found on this website.

‘Privacy Policy’ Means the policy which governs the collection and use of your personal data which can be found on the Website and is also available on written request at our registered address;

‘Security Data’ has the meaning given in Clause 10.1;

‘Third Party Content’ Means any material, information, data or other content which is owned or licensed by a third party;

‘Website’ Means the Society Site and any microsite of the website.

‘Intellectual Property Rights’ Means patents, trademarks, service marks, design rights (whether registrable or otherwise), applications for any of the foregoing, copyright, database rights, trade or business names and other similar rights or obligations whether registrable or not in any country (including but not limited to the United Kingdom); means all copyright, patents, trademarks, service marks, design rights, rights in databases, moral rights, and other intellectual property rights in each case whether registered or unregistered and including any applications for the foregoing and all other similar rights anywhere in the world.

2 Registration

2.1 By way of completion of your application to register for the lottery you acknowledge and agree to the minimum requirements. The registration of all applications is subject to verification by us and we reserve the right to reject an application using our reasonable discretion without giving reasons.

3. The Lottery

3.1 If you have any questions or concerns about the Lottery then you should contact us via email at ghn-tr.charitylottery@nhs.net or in writing to the above address.

3.2 We reserve the right to make reasonable changes or corrections, alterations, suspend or discontinue all or any part of the Lottery or any related content about the Lottery. Any modifications or additions to the Lottery shall be subject to these Terms.

3.3 The Services may include Third Party Content which may be subject to separate licences from the relevant third party. You understand that we do not control or endorse Third Party Content. All such Third Party Content is published by us in good faith but to the extent permitted by applicable law we do not accept responsibility for the accuracy or content of it. We make no representations whatsoever about any other website which you may access through the Website or which may link to the Website and when you access such third party websites you understand and agree that they are independent from the Website and that we have no control over them and that they shall be subject to separate terms and conditions.

4. Lottery Entries

4.1 The Lottery shall be subject to these Lottery Terms and Conditions, which you accept as part of your application of entry to the Lottery.

4.2 Without prejudice to the generality of Clause 2.1, you acknowledge and agree that we may in our reasonable discretion accept or reject any entry to the Lottery. Where we do not for any reason accept an entry, we shall refund the entry amount we received for the purchase of the ticket(s) relating to the entry. We will not take the entry amount for entry unless your entry has been accepted.

5. Disclaimers

5.1 Our warranties in relation to the Website and the Lottery are set out in full in Clause 11.3. We do not make any other promises or warranties about them (other than as must be inferred as a matter of law).

5.2 This Clause 5 shall survive termination of the Agreement.

6. Limitation of Liability

6.1 We will accept all liability if something we do involves fraud or personal injury where we have been negligent.

6.2 We shall operate the Website and provide the Lottery with reasonable skill and care.

6.3 We are responsible for losses you suffer as a result of us breaching these Terms only if the losses are a direct and foreseeable consequence of us breaking the Terms. Subject to Clause 11.1, such liability shall be further limited to the amounts which you have paid to us in relation to the Fundraising Events and the Lottery under these Terms in the 12 month period preceding the date of our breach. Losses are foreseeable where they could be contemplated by you and us at the time you register. We are not responsible for indirect losses which happen as a side effect of the main loss or damage and which are not foreseeable by you and us in this way. By way of example, we cannot foresee that any breach by us will cause you (a) loss of income or revenue; (b) loss of business; (c) loss of profits; or (d) loss of anticipated savings.

6.4 You agree to indemnify us from any and all claims and liabilities (including legal fees) which arise from your breach of the Agreement.

6.5 This Clause 6 shall survive termination of the Agreement.

7 Intellectual Property Rights

7.1 All Intellectual Property Rights in and to the Website, the materials contained on it and the Lottery (including the trademarks, design, text, graphics and other content, interfaces and the selection and arrangement of the content, software and all other material) belongs to us or our licensors. All rights are reserved.

7.2 We grant you a non-exclusive, royalty-free personal licence (with no right to sub-licence) to access and use the Website for your personal, private and non-commercial use.

7.3 Except to the extent and in the circumstances expressly required to be permitted by us by law, you shall not modify, adapt, translate, copy, reproduce, republish, upload, post, transmit or distribute by any means or in any manner any material or information included on or incorporated in the Website, the materials contained on it or the Lottery including but not limited to text, graphics, video, messages, code and/or software without our prior written consent.

7.4 This Clause 7 shall survive termination of the Agreement.

8. Data Protection

8.1 You acknowledge that in order for us to receive your Registration and provide participation in the Lottery to you, we must collect certain personal data from you and process that data.

8.2 Our collection and use of your personal data is governed by our Privacy Policy. Please read (and check amendments to) the privacy policy as it contains important details about how we collect and use your personal data.

8.3 You expressly consent to our use of your personal data in accordance with the Privacy Policy (as may be revised from time to time).

8.4 This Clause 8 shall survive termination of the Agreement.

9. Termination

9.1 We may terminate or suspend the Agreement and your participation in the Lottery at any time.

9.2 Upon termination of the Agreement, all rights and obligations of you and us shall cease to have effect immediately except that termination shall not affect the accrued rights and obligations of either of us at the date of termination nor any provisions of these Terms that expressly or impliedly survive termination.

10. Protection of customer funds

10.1 The Society holds all customer funds in a separate client account. All remote operators licensed by the Gambling Commission have an obligation to hold separate accounts for proceeds. This is to protect the player in the event of insolvency.

11. General

11.1 If any provision of these Terms is deemed to be unlawful, invalid or unenforceable, that provision shall be deemed severed and the validity and enforceability of the remaining provisions of these Terms shall not be affected.

11.2 If we fail to enforce a right under these Terms, that failure will not prevent us from enforcing other rights or the same type of right on a later occasion.

11.3 Without limiting Sections 5 (Disclaimers) and 6 (Liability), we do not take responsibility for any event which is outside our reasonable control, including but not limited to the failure, malfunction or unavailability of communications and/or computer services, power supply failures or shortages, acts or omissions of third parties including but not limited to network operators, acts of government or regulators nor for any consequential loss arising from such an event.

11.4 These Terms, together with the Privacy Policy, and the Lottery Rules (collectively the “Agreement”) constitute the whole agreement between you and us in relation to the subject matter and supersedes any and all prior agreements between you and us. You acknowledge that you have not entered into this Agreement in reliance on any statement, warranty or representation made by us or any other person and you irrevocably and unconditionally waive any right to claim damages and/or to rescind these Terms by reason of any misrepresentation (other than a fraudulent misrepresentation) that is not contained in the Agreement. We may in our absolute discretion modify this Agreement from time to time and post the new version on the Website, following which all use of the Lottery shall be governed by the amended Agreement.

11.5 You are not permitted to assign the Agreement. We may assign, transfer or subcontract any of our rights or obligations under this Agreement without notice to you.

11.6 All the terms of this Agreement shall be enforceable by The Fundraising Foundry and the Society. No other person who is not a party to it may enforce the terms of the Agreement. The Contracts (Rights of Third Parties) Act 1999 shall be construed accordingly.

11.7 All notices shall be given:

(a) to us via email or by post to our registered address as set out in the introduction to these terms; or

(b) to you at either the email or postal address you provide during the registration process.

Notice will be deemed received when an email is received in full (or on the next business day if it is received outside on 09:00 to 17:30 on a weekday that is not a bank holiday) or 3 days after the date of posting (or, where this falls other than on a weekday that is not a bank holiday, on the next working day).

11.9 The Agreement is governed by and construed in accordance with English law. The parties submit to the nonexclusive jurisdiction of the English courts.

11.10 This Clause 11 shall survive termination of the Agreement.

Lottery Rules

Lottery Rules

These Rules, together with any specific terms or conditions explained or notified by the Society as relevant to this lottery (whether displayed in promotional materials for this lottery or otherwise) apply to your participation in the Lottery.

By entering the Lottery, you agree to these Rules, the Privacy Policy and, where applicable, the Social Responsibility Guidelines and Acceptable use policy. Each entrant should retain a copy of these Rules for their reference. If you do not agree to comply with these Rules, Policies or Procedures please do not enter the Lottery.

Introduction

The Lottery is a weekly lottery in which players can win guaranteed cash prizes of:

Ten runner up prizes of £10 each

In addition, there will be an annual superdraw prize with the chance of winning up to £2,000 in the first draw of February. An entry to the seasonal superdraw will be given to existing direct debit ticket holders at no additional cost if they have credit in their account to play in that week’s normal Lottery.

Eligibility

Entrants to the Lottery must be resident in Great Britain. It is not open to residents of Northern Ireland, the Channel Islands or the Isle of Man. Entrants are required to provide to the Society their name, date of birth, address and email address. To enter the Lottery you must be aged 18 (eighteen) or over. Any entrant found to be under 18 years of age at the time of entry automatically forfeits the right to any Prize and will have their stake refunded. Checks will be carried out to verify the age of participants. This may include references to credit agencies.

The eligibility of any entrant is at the sole discretion of the Society, which reserves the right to disqualify or decline to accept the entry of any entrant if it has reasonable grounds to believe the entrant has breached any of these Rules or otherwise acted fraudulently. Ineligible entrants will not be entitled to receive a Prize, and any Prize awarded to an ineligible entrant may be revoked (if not received) or must be returned (if already received).

Lottery Draw

Regular weekly draws - Tickets are issued every Friday. The Draw process is based upon the results of the first six digits of a number drawn by a random number generator which is drawn every Saturday. The results are published on this website https://www.gloshospitals.nhs.uk/charity/support-us/hospitals-lottery/lottery-results-and-winners/and are available at 17.45 GMT.

Additional weekly draws - (in months with only four Fridays): Tickets are issued on the following Tuesday, and the draw is held on Wednesday. Results of the additional draw will be published on those Wednesdays at 17:45 GMT on the website.

In order to comply with the 2005 Gambling Act only those Chances for which payment has been received are eligible for entry into the Draw.

In the event that the random number generator draw does not occur or is declared void on a single occasion then the Winning Number shall be determined in the same way but from an alternative method. Details of such an occurrence will be published on this web page.

In the event that the Draw process below ceases to occur or is subject to fundamental change which prevents a Winning Number being selected then The Fundraising Foundry Limited reserves the right to select an alternative Draw process. Such an alternative Draw process would be selected on the basis that the basic principles of the Draw as described would continue and the basic principles of how winners would be selected would continue as described. Such changes will be published on this web page.

The approximate winning probabilities are summarised below. The draw ensures guaranteed winners every week so the odds of winning are 1/number of entries. As at 2026-02-11 the odds of winning a prize are 1 in 5604. The approximate probabilities will change each week depending upon the number of tickets that are entered into the draw

Entries

  • Regular weekly draws are held each week on a Saturday.
  • Additional weekly draws (in months with only four Fridays): Tickets are issued on the following Tuesday, and the draw is held on Wednesday. Results of the additional draw will be published on those Wednesdays at 17:45 GMT on the website https://www.gloshospitals.nhs.uk/charity/support-us/hospitals-lottery/lottery-results-and-winners/
  • A six-digit Game Number will be issued to entrants by post, mail or SMS.
  • The six-digit Game Number is unique to each individual chance purchased.
  • Tickets (entries) are £1 and can be purchased by Direct Debit or individual play.
  • No participant may purchase more than 10 tickets in any week.
  • All ticket (entry) sales are final and no refunds shall be made at any time.
  • Only tickets for which full payment has been received are eligible for entry.
  • Direct Debit payments are taken one month in advance, and take a minimum of 14 days to process; you will be entered into the first available draw after the collection has been made from your bank account. You will be notified of your first draw date by email or post.
  • Each week, tickets purchased between 00:00:00 GMT on a Friday and 23:59:59 GMT on the following Friday shall be included in the draw that is held on the following Saturday. The Society shall decide whether or not an entry was received in time for inclusion in any lottery draw.
  • For draws that take place on a Wednesday, tickets purchased between 00:00:00 GMT on a Saturday and 23:59:59 GMT on the following Tuesday shall be included in the draw that is held on the following Wednesday. The Society shall decide whether or not an entry was received in time for inclusion in any lottery draw.
  • For draws that take place on the Saturday following a Wednesday draw, tickets purchased between 00:00:00 GMT on a Wednesday and 23:59:59 GMT on the following Thursday shall be included in the draw that is held on the following Saturday. The Society shall decide whether or not an entry was received in time for inclusion in any lottery draw.
  • Lost, delayed or incomplete entries (caused by corruption of data transmission or otherwise) will not be accepted and the Society does not take responsibility for entries that are lost, delayed or not received for any reason.
  • All participants acknowledge that their payment of £1 per ticket to enter the Lottery does not guarantee that they will win any Prize.
  • Information (including personal information) submitted in an entry will, unless specifically stated otherwise, be used by the Society in accordance with the Privacy Policy. By entering the Lottery, entrants’ consent to the use of their name being supplied in accordance with additional rules below.

Defining a winner

Prize winners will be determined by whether a player’s Game Number relating to an entry in the Lottery matches all or some of the Winning Number as described above and dependent that the entry relating to the Game Number in question complies with the Gambling Act 2005 regulation of payment already being received.

(a) If all six digits of the Game Number match the Winning Number in the same positions then this is a “6 Number Match”. e.g. if the Game Number is 123456 and the Winning Number is 123456 this is a “6 number match”

Prizes

The guaranteed weekly prizes are:

  • One top prize of £500
  • One second prize of £50
  • Ten runner up prizes of £10 each

In addition there will be an annual superdraw prize with the chance of winning up to £2,000. When a superdraw takes place it will be awarded to the first six number match with the rest of the prizes adjusted accordingly:

(a) For the first 6 Number Match, the prize will be £2,000 to the player

(b) For the second 6 Number Match, the prize will be £500

(c) For the third 6 Number Match, the prize will be £50

(d) For the fourth 6 Number Match, the prize will be £10

(e) For the fifth 6 Number Match, the prize will be £10

(f) For the sixth 6 Number Match, the prize will be £10

(g) For the seventh 6 Number Match, the prize will be £10

(h) For the eighth 6 Number Match, the prize will be £10

(i) For the ninth 6 Number Match, the prize will be £10

(j) For the tenth 6 Number Match, the prize will be £10

(k) For the eleventh 6 Number Match, the prize will be £10

(m) For the twelfth 6 Number Match, the prize will be £10

(n) For the thirteenth 6 Number Match, the prize will be £10

- Each Game Number shall only be entitled to win one prize in one Draw. The prize won will relate to the highest Number Match to which the Game Number matches.

- The results of each Draw will be published on the website https://www.gloshospitals.nhs.uk/charity/support-us/hospitals-lottery/lottery-results-and-winners/.

- The winning prize winners will be announced on our website https://www.gloshospitals.nhs.uk/charity/support-us/hospitals-lottery/lottery-results-and-winners/.

- Prize winners will be notified by email or post (using the details held by the Society or, if different, the details supplied by the entrant in his or her entry) within 28 days of the relevant draw date.

- The Society reserves the right to amend the prizes at any time. Any such changes will be published on the Website, at least one month prior to a change being made. We will write to all active lottery players via email or post to highlight any amendments, at least one month prior to a change being made.

- Winners of prizes may collect their prizes in one of the following means

(a) by BACS

(b) by any other payment means that may become available to the participating Society

We will make all reasonable efforts to identify and contact winners, however, if a prize winner fails (for whatever reason) to claim their Prize within 60 days of receipt of the Society’s notification, the ticket will expire and the Prize will be forfeited.

General

Gambling

Entering this Lottery is a form of gambling. Entrants are encouraged to gamble sensibly. Please read the Social Responsibility Guidelines, which can be found on this website. Our social responsibility policies cover our commitment to a fair and open draws policy and contain the procedures of how we handle players’ queries and complaints. It is our commitment to follow all guidelines for responsible gambling and best practice problem gambling procedures.

Liability

The Society cannot accept any liability (other than for death or personal injury or other liabilities that cannot, as a matter of law, be excluded) for any damage, loss, costs, expenses or disappointment, whether direct or indirect, caused to or suffered by entrants in connection with this Lottery or as a result of entrants’ accepting or making use of any Prize. In particular, all entrants are solely responsible for providing and (where necessary) updating the Society with their accurate and up-to-date contact details and the Society will be in no way be liable for any failure or inability to contact any entrant due to any errors, omissions or inaccuracies in the contact details that the entrant has provided.

Players closing their account

If a player cancels their payments/account then they will continue to play in the lottery/draw whilst they have sufficient balance in their account to play, unless they specifically request that the balance be returned. If a player closes their account with less than £1 remaining, the remaining balance will be transferred to the Charity. If you would like any balances under £1 to be returned to you please email: ghn-tr.charitylottery@nhs.net to make this request including your name, address, ticket number and contact details.

Disputes

In the event of any dispute regarding the Lottery, if the dispute cannot be resolved by the parties within 90 days, it will be referred to the Independent Betting Adjudication Service Limited, an independent third party.

Law

These Rules and any non-contractual obligations connected to them shall be governed by and construed in accordance with the laws of England and Wales and, failing satisfactory resolution of any dispute in accordance with Dispute handling policy, the English and Welsh courts shall have exclusive jurisdiction to settle any dispute which may arise under or in connection with them.

Severance

If any provision of these Rules is found to be invalid by any court having competent jurisdiction, the invalidity of that provision will not affect the validity of the remaining provisions of those terms, which shall remain in full force and effect.

Gambling and Responsible Gambling Policy

1. Introduction

Cheltenham and Gloucester Hospitals Charity ("the Charity") is committed to raising funds responsibly and to promoting responsible gambling. One significant element of our fundraising portfolio is our society lottery, operated under the Gambling Act 2005 ("the Act").

The lottery is promoted by Cheltenham and Gloucester Hospitals Charity for the sole purpose of raising funds for Registered Charity No.1051606. Registered Office: Cheltenham General Hospital, Charity Office, Sandford Road, Cheltenham, Gloucestershire, GL53 7AN.

The Charity currently operates under a Local Authority Number. We will always adhere to the Licence Conditions and Codes of Practice ("LCCP").

This policy sets out how the Charity, together with its appointed External Lottery Manager (ELM), The Fundraising Foundry Ltd, fulfils the Act’s three licensing objectives:

· keeping crime and disorder out of gambling;

· ensuring that gambling is conducted in a fair and open way; and

· protecting children and other vulnerable people from being harmed or exploited by gambling.

2. Purpose & Scope

This policy applies to all lottery activity undertaken in the Charity’s name – whether remote (online, telephone, electronic) or non-remote (face-to-face, postal). It ensures that our lottery is operated:

· securely and fairly;

· in full compliance with the Act, the LCCP and all relevant regulations; and

in a socially responsible manner that promotes safe play and

· mitigates potential harms.

The policy is reviewed annually – and sooner where required by regulatory change – and approved by the Charity’s Trustees.

3. Definitions

Lottery – Payment is required to participate, one or more prizes are awarded, those prizes are awarded by chance. For this Charity it is a weekly draw, with each chance costing £1.

Proceeds – Total income from ticket sales before deductions.

Profits – Proceeds minus prizes and reasonable expenses.

External Lottery Manager (ELM) – A Gambling Commission-licensed third party appointed to run lotteries on behalf of societies. The Charity’s ELM is The Fundraising Foundry Ltd (GC account no. 57455), a company registered in England and Wales with company number 12391987 and whose registered address is 157 Bedford Road, Letchworth Garden City, UK, SG6 4DY.

Responsible Persons – Named post-holders endorsed by the Gambling Commission as accountable for the lottery. These must be employees of the Charity and not an external lottery manager, approved by the Gambling Commission and listed on Schedule X of the lottery operating licence.

4. Licences

Cheltenham and Gloucester Hospitals Charity currently holds a Local Authority Number and is applying for licences from the Gambling Commission, which are granted for society lottery gaming activity. Society lotteries can only be run for good causes and cannot be run for private or commercial gain.

5. Lottery Terms & Conditions and Rules

The Charity operates its society lottery in accordance with a comprehensive set of Lottery Terms & Conditions and Lottery Rules. These documents are designed to ensure fairness, transparency, and compliance with the Gambling Act 2005 and the Licence Conditions and Codes of Practice (LCCP).

The Charity ensures that all players are made aware of and agree to these Terms & Conditions and Rules prior to participation. These documents are subject to periodic review and updates to ensure ongoing compliance and best practice, with any material changes communicated to players as required by regulation.

6. External Lottery Manager Procedures

Cheltenham and Gloucester Hospitals Charity conducts its lottery by means of contracting with a Gambling Commission licensed External Lottery Manager (ELM), The Fundraising Foundry Ltd.

The ELM maintains a record of all tickets (entries) sold for the weekly lottery, including contact details and any other information connected with monies sent in for tickets/entries received. These records are kept for a minimum of five years to comply with the Gambling Commission’s GDPR requirements.

Draws are conducted fairly and openly using a Random Number Generator (RNG) to determine the winner(s). The draw takes place every Saturday and results are published every Saturday at 17:45 GMT on the website: https://www.gloshospitals.nhs.uk/charity/support-us/hospitals-lottery/. There will be five draws every month. In months with only four Fridays: tickets are issued on the following Tuesday, and the draw is held on Wednesday. Results of the additional draw will be published on those Wednesdays at 17:45 GMT on the website.

All data handled by the ELM is stored using AWS servers, and The Fundraising Foundry Ltd is certified to ISO 27001 standards. All funds for lottery entries are collected by direct debit mandate. The collections are made by an approved BACS bureau, which is a Data Security Standard (“PCI-DSS”) Tier-1 Accredited Payment Service Provider and is certified to ISO 27001 standards. The ELM invoices Cheltenham and Gloucester Hospitals Charity for its services, ensuring that charity funds are never at risk.

7. Conducting Gambling in a Fair & Open Way

Cheltenham and Gloucester Hospitals Charity is committed to conducting its lottery in a fair and open manner.

The Charity will ensure that all lottery participants have clear information on the rules and prizes that are available. All participants will have access to the terms and conditions (including information on prizes) of the lottery prior to purchasing a chance to win.

Terms and conditions are published on the Charity's website. Participants will be notified of any changes to the terms before they come into effect via an administrative email or mail.

Entry is open to all residents of Great Britain. This excludes Northern Ireland, the Channel Islands and the Isle of Man. Entry costs £1 per play, payable in advance.

The Charity may set a maximum number of tickets any one person can purchase for a draw. Currently, any one person is allowed to purchase a maximum of ten tickets for this draw, promoting socially responsible participation.

Cheltenham and Gloucester Hospitals Charity employees or third parties directly involved in the administration or management of the Weekly Lottery are excluded from participation. Volunteers of the Charity or any other third party may only participate in the lottery if they are not involved in the organisation, management, or running of the activity.

All Weekly Lottery and Superdraw winners are notified within 14 days in writing, and in the case of the top prize winner of any special draws, by phone, if a telephone number is available.

8. Preventing Crime & Disorder in Gambling

Cheltenham and Gloucester Hospitals Charity is committed to preventing gambling from being a source of or associated with crime or disorder or being used to support crime.

The Charity will refuse to contract with any contractors or agents who are suspected of being associated with any potential or actual criminal activities.

When an individual joins the lottery, checks are performed to ensure that:

· The individual is aged 18 or over.

· The individual is resident in Great Britain

All lottery-related software is password protected and accessible only by authorised members of staff. The Charity retains the right to cancel any lottery membership should criminal activity be suspected.

The Charity does not accept cash from members of the public who wish to join the lottery. Lottery participants are not able to pay for lottery tickets (entries) via credit card. Cheltenham and Gloucester Hospitals Charity promotes the sale of both non-remote and remote lottery tickets (entries) by Direct Debit, payable on a per calendar month basis.

Cheltenham and Gloucester Hospitals Charity subscription-based weekly lottery promotion materials are designed to allow for a maximum of ten weekly entries per person at £1 per entry, thus minimising the risk of criminal activity. Face-to-face fundraisers selling non-remote subscription-based weekly lottery tickets are not permitted to take cash or cheque in lieu of payment, further minimising risk.

Cheltenham and Gloucester Hospitals Charity will not accept suspicious or fraudulent transactions and will report such transactions to the National Crime Agency under The Proceeds of Crime Act 2002 (POCA 2002). When considering its approach to money laundering, the Charity will work within the regulatory and statutory guidance, including:

· The Proceeds of Crime Act 2002 (POCA 2002).

· The Terrorism Act 2000 (TA 2000).

· The Money Laundering Regulations 2007 (MLR 2007).

· The Money Laundering, Terrorist Financing and Transfer of Funds (Regulations 2017 (MLR 2017) regulation 18.

9. Protecting Underage Individuals & Vulnerable People

Cheltenham and Gloucester Hospitals Charity will not permit sales of tickets to any person in a vulnerable circumstance or any person under the age of 18 to participate in the lottery or any other form of gambling.

9.1 Protecting Underage Individuals

It is illegal for anyone under the age of 18 to enter a lottery in the UK. The Charity requires that all lottery participants are 18 years of age or over. If, for whatever reason, upon winning, any individual is unable to prove that they are 18 or over, then any winnings will be forfeited.

Entrants to the Lottery must be resident in Great Britain. It is not open to residents of Northern Ireland, the Channel Islands or the Isle of Man.

Entrants are required to provide to the Society their name, date of birth, address and email address. To enter the Lottery you must be aged 18 (eighteen) or over. Any entrant found to be under 18 years of age at the time of entry automatically forfeits the right to any Prize and will have their stake refunded. Checks are carried out to verify the age of participants and may include references to credit agencies.

The eligibility of any entrant is at the sole discretion of the Society, which reserves the right to disqualify or decline to accept the entry of any entrant if it has reasonable grounds to believe the entrant has breached any of these Rules or otherwise acted fraudulently. Ineligible entrants will not be entitled to receive a Prize, and any Prize awarded to an ineligible entrant may be revoked (if not received) or must be returned (if already received).

For anyone who appears to be under the age of 18, they will be asked to produce proof of identity and age before they sign up to the lottery via a face-to-face fundraiser. The Charity best endeavours to address the issue by having a minimum age of 18 for anyone who signs up via the website. If someone attempts to sign up with a date of birth under 18. The Charity may carry out randomised spot checks by contacting lottery members and asking them to confirm their date of birth.

Cheltenham and Gloucester Hospitals Charity does not offer prizes where alcohol is included.

9.2 Protecting Vulnerable People

In line with Cheltenham and Gloucester Hospitals Charity policy on Fundraising with People in Vulnerable Circumstances, the Charity will politely refuse to accept any further participation from people who have been discovered or suspected of being vulnerable, typically by recommending that the customer speaks with a carer or family member before proceeding further with the gambling transaction.

All face-to-face fundraisers are trained to detect vulnerability in potential supporters and to politely decline offers of support from these individuals.

The Charity will provide any player with a full history of their lottery membership, including complete payment and winnings history upon request. The Charity provides information on gambling support organisations, self-help, and awareness groups, with all information available via the website, upon request, or on relevant communications.

If someone self-excludes, their lottery membership(s) will be closed for a minimum period of six months, during which time the membership(s) cannot be reinstated. See Section 11 for further details on self-exclusion.

10. Responsible & Problem Gambling Procedure

Cheltenham and Gloucester Hospitals Charity is committed to ensuring that information about how to gamble responsibly and how to access information or help with problem gambling is readily available to all. The Charity also contributes to public education on the risks of gambling and how to gamble safely.

10.1 Keeping Gambling Under Control

Most people gamble responsibly, and gambling in moderation is acceptable. To help keep gambling under control, Cheltenham and Gloucester Hospitals Charity recommends:

· Remembering that taking part is for fun and not as a means of investing money.

· Setting strict limits on how much time and money to spend before playing.

· Quitting whilst ahead.

· Only gambling with money that can be afforded to be lost.

· Not spending more money on gambling in the hope that it will be won back again.

· Keeping up other interests and hobbies and not letting gambling take over one’s life.

· Not gambling to escape from stress or boredom.

10.2 Signs of Problem Gambling

For some people, gambling can become a problem. If some of the following signs are present, it is likely a gambling problem exists.

Answering yes to some of these questions does not necessarily make you a problem gambler but may indicate a problem:

· Do you sometimes spend more money and time on gambling than you can afford to?

· Do you find it hard to stop or manage your gambling?

· Do you have arguments with family or friends about money and gambling?

· Do you always think or talk about gambling?

· Do you lie about gambling or hide it from other people?

· Do you chase losses or gamble to get out of financial trouble?

· Do you gamble until all of your money is gone?

· Do you borrow money, sell possessions or do not pay bills in order to pay for gambling?

· Do you need to gamble with larger amounts of money or for a longer time to get the same feeling of excitement or buzz?

· Do you neglect work, school, family, personal needs or household responsibilities because of gambling?

· Do you feel anxious, worried, guilty, depressed or irritable because of gambling?

· Do you consider or have considered an illegal act to finance your gambling?

· Do you gamble to escape worry, trouble, boredom or loneliness?

· Do you have difficulty sleeping because of gambling?

10.3 Information & Help

The Charity is committed to directing players to appropriate support services if they are experiencing gambling-related harm. Information regarding responsible gambling and help for problem gambling will be readily accessible. Training is provided so that staff understand their responsibilities and are aware of advice on socially responsible gambling and of where to get confidential advice should their gambling become hard to control.

Cheltenham and Gloucester Hospitals Charity will endeavour to ensure that it identifies and reacts to any suspected problem gamblers. Upon receipt of an application to participate in its lottery from a suspected problem gambler:

· Any requests for any tickets (entries) more than the recommended maximums will be refused.

· The customer will be referred to GamCare.

· The customer’s details will be logged in the Charity’s database for the purposes of possible exclusion from future participation in future lotteries.

· Future written and verbal communications will be monitored by the Responsible Person for lotteries.

If an existing customer is suspected of becoming a problem gambler:

· Any request for any additional entries will be refused.

· The customer will be referred to GamCare.

· The customer’s details will be suppressed and will be excluded from

· future lottery participation and mailings.

· Future written and verbal communications will be monitored by the

· Responsible Person for lotteries.

· Any money allocated to future draws will be refunded.

Cheltenham and Gloucester Hospitals Charity will initiate customer verification checks to ensure that the customer is aware of the level of gambling currently being undertaken, when approached by customers who:

· Wish to purchase more than the number of tickets that can be purchased at one time (currently ten).

· Are suspected problem gamblers.

11. Self-Exclusion

Cheltenham and Gloucester Hospitals Charity has a self-exclusion process in place for potential and existing lottery participants.

Lottery participants or carers of a vulnerable person can request self-exclusion from our database for further lottery mailings. The exclusion will be valid for a minimum of 6 months and cannot be reinstated during this time. A request can be made via email using the dedicated address:

or the participant or carer can contact the Charity by phone or post.

All communication between staff and self-excluders/suspected problem gamblers will be recorded in writing, monitored, and approved by the Responsible Person for lotteries.

If an existing lottery participant self-excludes from gambling, Cheltenham and Gloucester Hospitals Charity will ensure:

· The individual who has asked to be self-excluded will be removed from any gambling-related marketing databases within two working days of receiving the completed self-exclusion notification and will be excluded for a minimum of 6 months.

· Self-excluders will not then receive any future gambling-related marketing materials unless the self-excluder takes positive action to gamble again and has specifically agreed to such materials.

· The individual may wish to consider self-exclusion beyond Cheltenham and Gloucester Hospitals Charity lottery and will be provided with GamCare’s contact details.

Additionally:

· The Charity will take all reasonable steps to refuse service or to otherwise prevent an individual who has entered a self-exclusion agreement from participating in gambling. A customer who has made contact to request self-exclusion will be refused service and prevented from gambling with any lottery administered by the Charity, for a minimum of six months.

· A request for self-exclusion will be available with immediate effect and with no “cooling off” period.

· During this period, the Charity will take all reasonable steps to ensure that the individual does not try to play any lotteries administered by the Charity and prevent any marketing material being sent to them.

· An individual when requesting self-exclusion will be informed of the self-exclusion process and implications and will be provided information on gambling support agencies. The main agencies are: www.gamcare.org.uk - telephone 0808 8020 133 or www.begambleaware.org.

· The individual’s lottery account will be closed. Any balances outstanding on that account will be refunded. Where an individual has paid by cheque, the amount from the last draw they were entered into, to the end date of their subscription will be refunded by cheque within 10 working days. Where an individual pays by Direct Debit/Standing Order, they will have to contact their bank directly to cancel the Direct Debit/Standing Order and the Charity will refund them each month until such time as the instruction has been cancelled. Where the individual pays by Direct Debit, the Charity will cancel the Direct Debit and refund any unused credit on the ticket(s).

· During the period of self-exclusion, they will not be entered into any charity lottery draw promoted by the Charity, even if the individual has failed to cancel their instruction.

· After the self-exclusion period ends, if the individual wishes to recommence participating in any of the lotteries promoted by the Charity, they must request in writing that they wish to be removed from the self-exclusion register. Once this letter is received, the individual will be given one day to ‘cool off’ before being given the opportunity to recommence participation in the lottery.

12. Marketing

Any promotional materials for the lottery are clear and not misleading, and all advertising for the lottery complies with the advertising code of practice applicable to the form and media the advert is in. The principles in these codes will also be applied to all forms and media not explicitly covered by the advertising codes as if they were.

13. Financial & Information Requirements

13.1 Financial Requirements

All money received by Cheltenham and Gloucester Hospitals Charity will be handled in accordance with the Charity’s finance and cash handling policies.

13.2 Protection of Customer Funds

Cheltenham and Gloucester Hospitals Charity holds all customer funds in a separate client account. All remote operators licensed by the Gambling Commission have an obligation to hold separate accounts for proceeds. This is to protect the player in the event of insolvency.

13.3 Information Requirements

Cheltenham and Gloucester Hospitals Charity will make all reasonable efforts to ensure that the Gambling Commission are provided with any information that they know relates to or suspect may relate to an offence under the Gambling Act 2005, including an offence resulting from a breach of a licence condition or a Code provision having the effect of a licence condition. The Charity will make all reasonable efforts to ensure that all key events that could have a significant impact upon the nature or structure of a licensee’s business are notified to the Commission as soon as is reasonably practicable and in any event within five working days of the licensee becoming aware of the event’s occurrence. Key events are those concerning operator status, relevant persons and positions, financial events, legal or regulatory proceedings or reports, and gambling facilities.

Weekly Lottery Submissions will be completed by Cheltenham and Gloucester Hospitals Charity and will be submitted to the Gambling Commission within 3 months of the date of each lottery draw. The Charity will also submit quarterly Lottery Regulatory Returns to the Gambling Commission.

14. Complaints & Disputes

Cheltenham and Gloucester Hospitals Charity lottery has applied for a licence in Great Britain issued by the Gambling Commission. The Gambling Commission defines a complaint as an expression of dissatisfaction, whether spoken or written, about any aspect of the way the licensee conducts their licensed activities. For example, a complaint may be:

· About the outcome of a gambling transaction.

· About the way a gambling transaction has been managed.

· That concerns the way the licence holder carries out its business in relation to the three licensing objectives.

Any complaints that fall within this definition will be managed in line with the following procedure.

A dispute is defined as those complaints that are about the customer’s gambling transaction (including management of the transaction) and have not been resolved at the first stage of the operator’s complaints procedure. Disputes may include, for example, those linked to the application of bonus offers or to other terms and conditions, account management, or the ability to access funds and winnings.

14.1 Complaints & Disputes Procedure

14.2 Stage 1

Any problems or concerns that are brought to our attention will be formally recorded. We aim to respond as quickly as possible, and an initial response to the complaint or query will be provided within two working days of its receipt.

If the investigation of the complaint is likely to take longer than two days, we will write to let you know the proposed timescales and next steps, aiming to resolve your complaint within a maximum of eight weeks. We will investigate your complaint involving relevant parties as necessary and contact you to let you know the outcome and any actions taken. Each complaint will be taken seriously and fully investigated in order that a satisfactory resolution can be achieved.

14.3 Stage 2

If the complaint is not satisfactorily resolved at Stage 1, the matter will be escalated. If you are still not satisfied and we have been unable to agree a resolution to your dispute within 8 weeks (from the date we received your initial complaint), we will send you a “deadlock” letter advising you that we will be referring your dispute to The Independent Betting Adjudication Service (IBAS) (www.ibas-uk.com).

The Independent Betting Adjudication Service (IBAS) acts as an impartial adjudicator on disputes that arise between gambling operators and their customers, particularly when internal dispute procedures reach a deadlock.

The IBAS panel of betting experts apply their specialist knowledge to the facts and will adjudicate by reference to the Charity’s Terms and Conditions.

They do not rule on complex legal issues. As well as offering effective dispute resolution procedures, IBAS also verifies compliance with standards set by appropriate regulatory bodies and IBAS’s own terms and conditions of registration.

The individual who raised the complaint will be provided with IBAS referral details. The outcome of the IBAS intervention will be reported to the Gambling Commission.

This Lottery is promoted and operated by Cheltenham & Gloucester Hospitals Charity (UK Registered Charity Number 1051606) (“the Society”). Cheltenham and Gloucester Hospitals Charity will handle all complaints in accordance with this procedure:

  1. in the event that you contact us with a problem or complaint, we will ask for your name, telephone number, email address and address, along with a brief outline of the nature of the complaint. We will then explain that your complaint or concerns will be passed onto the responsible person or other suitably appointed person, for their urgent attention and that they will contact you personally to investigate the problem or complaint.
  2. We will aim to contact you immediately or within one working day. We will take time to listen to you and take a more detailed description of the complaint or dispute in writing. The responsible person or other suitably appointed person will next outline investigations and actions will take place in response to your concerns. If the complaint concerns a canvasser contracted by the fundraising agency recruiting to the lottery, the following additional steps will take place:
    • The charity reports the incident to the fundraising agency as soon as they become aware.
    • The charity will provide the fundraising agency with a written statement of the complaint.
    • A telephone interview will be conducted with the fundraiser against whom the complaint has been made. This will be undertaken by a senior member of management. At this time, the senior manager will make the decision whether or not to suspend the fundraiser. If the fundraiser is suspended we move to 4. All minor complaints are resolved verbally within 4 hours followed by an email response giving complainant statement, fundraiser statement and any other statements that were part of the investigation. It also incorporates a conclusion and action plan. This is supplied within 24 hours.
    • A written statement from the fundraiser will follow, where applicable, to the fundraising agency, clarifying their side of the incident. This needs to be completed within 24 hours.
    • The fundraising agency will complete their investigation. Sometimes the complainant may need to be contacted via the charity again as part of this investigation, ie if the issue is serious or if clarification is needed. We will respond in full to your complaint within 8 weeks of receiving it.
  1. Once the responsible person or other suitably appointed person has established the facts concerning the complaint or dispute, you will be contacted to be informed of the results of the enquiry and what actions have been taken.
  2. You will be asked if you are happy with what is suggested and also if you understand the procedure and what will happen next. This dialogue will be documented. We will not reveal your personal details to anyone involved in the nature of the complaint.

All complaints and disputes are logged and filed electronically, both in the charity complaints log and with the accompanying documentation. They will be kept on file for 3 years.
